B2B portal development · Shopify Partner

B2B portal development for trade customers who order every week.

Rococo designs and builds B2B portals, trade portals and customer portals: one login where each customer sees their own prices, orders by product code, reorders in seconds and manages their account without calling your team.

This is what your customers would log in to.

An example trade portal with demo data. Click through the three things trade buyers do most often: order fast, reorder, and get a large order approved.

Every portal we build is designed around your own catalogue, pricing and customers, so yours will look like your business, not this demo.

Quick order

Built for buyers who know the code

Trade buyers type or paste product codes, or upload the CSV from their own system. Their contract prices are already applied and stock is checked as they go.

Reorder

Most trade orders repeat

One click rebuilds a past order at today’s prices and live stock, instead of an email to your sales team and an order keyed in by hand.

Approvals

Purchasing that matches theirs

Larger customers have buyers, managers and finance. Spending limits and approval steps follow how their purchasing works, with PO numbers carried through to the invoice.

What we build

What goes into a B2B portal we build.

Every portal starts with how your customers order today, by phone, email and spreadsheet, and removes the steps that waste their time and your team’s.

Customer accounts and users

Company accounts with several users, each with a role: buyer, approver, finance or admin, across one site or many delivery locations.

Their prices, their catalogue

Contract prices, price breaks and customer specific ranges, so each account sees what it can buy at the price it agreed.

Quick order and CSV upload

Order by product code or paste a whole list, with price and availability checked line by line.

Reorder and saved lists

Reorder from history, save regular baskets and share lists across the buyer’s team.

Quotes and approvals

Quote requests your sales team prices and returns, and approval steps with spending limits per user.

Credit, terms and invoices

Credit limits, payment terms, statements and invoices to download, with a PO number on every order.

Stock and delivery

Live availability, lead times and order tracking, so customers stop phoning to ask where things are.

Documents and resources

Spec sheets, certificates, price lists and marketing assets in one place, kept current from your own systems.

Ordering on behalf

Your sales reps log in as a customer, see the account history before a visit and place orders for them.

Types of portal

Trade portals, customer portals and everything in between.

“Portal” means different things to different businesses. These are the four we are asked for most, and plenty of projects combine two of them behind one login.

Wholesale and trade

Trade portal

For trade customers who buy from you every week.

What it does
Contract pricing, quick order, reorder from history, credit terms and invoices.
Suits
Distributors, wholesalers and manufacturers selling through the trade.
Channel partners

Dealer and distributor portal

For the dealers, stockists and resellers who sell your products.

What it does
Partner price tiers, stock checks, marketing assets, warranty and returns requests.
Suits
Brands and manufacturers with a dealer or reseller network.
Service and account

Customer portal

For customers who need to manage an account, not just order.

What it does
Contracts, documents, invoices, service history and requests, all in one login.
Suits
Service businesses, rental, maintenance and subscription models.
For your team

Sales rep portal

For the people selling in the field or on the phone.

What it does
Customer history, ordering on behalf, quotes on the road and account notes before every call.
Suits
Businesses with field sales, telesales or account managers.
Adoption

A portal nobody logs in to is an expensive login page.

The build is the easier part. The hard part is moving customers who have phoned or emailed their orders for ten years. Most portal projects plan every feature and leave adoption to chance.

We plan it from the first workshop, because we are also the team that runs the marketing after launch. Success is measured in orders placed online, not in a portal that went live.

  1. 01

Every account moved across with its history

Customers log in to find their prices, addresses and past orders already there, so nothing needs setting up again.

  2. 02

Personal invites and a one minute first login

Invites from someone they know, a first login that takes a minute, and help on hand for the first order.

  3. 03

    Your sales team on side

Reps briefed and set up to move phone and email orders across, rather than worrying the portal replaces them.

  4. 04

    Reorder reminders by email

Klaviyo flows timed to each account’s buying cycle, linking straight to a ready made basket.

  5. 05

    Tracked account by account

We report who is ordering online and who is not, then follow up the accounts still on the phone.

Bespoke trade portalAccount pricingFast reordering

A bespoke trade portal for the UK’s largest independent fibre distributor.

Networks Centre supplies data centres, telecoms and network installers from a 90,000 sq ft operation. Its trade buyers needed account pricing and fast reordering, not a consumer checkout bolted onto a catalogue.

Behind a new Shopify platform we built a bespoke B2B portal around account based access, trade pricing and repeat ordering, architected to extend to Networks Direct, a separate arm of the business, and to connect to Business Central.

  • 6,061customer accounts moved into the portal with no loss of ordering history
  • 18.7kproducts in one catalogue, each with account pricing
  • 0.9spage load at launch, down from about 2.4 seconds

“The portal will change the way we sell, and it is ready to scale as we connect Business Central. From the first conversation their attitude was, leave it with us, we will find the right way to build it.”

Experience

Where portal projects go wrong, and how we stop it.

Most portal problems are predictable. They show up in the data, the pricing rules and the people long before they show up on screen.

These are the six we plan for from the first workshop on every build, so none of them is discovered by your customers after launch.

01

Two sources of truth for price

Prices in the ERP and the portal drift apart, and a customer orders at a price nobody agreed.

How we handle itOne system owns each price. We agree which in discovery, sync on a schedule the business can live with, and show the price the ERP will invoice.

02

One company, many buyers

A customer with ten sites shares one login, so orders go to the wrong address and nobody knows who ordered what.

How we handle itCompany accounts with locations, users and roles, so each buyer orders for their own site and managers see everything.

03

An empty account on day one

Customers log in, cannot find last month’s order, and pick up the phone instead.

How we handle itAccounts, addresses and order history move across before launch and are checked against real customers, as we did for 6,061 accounts at Networks Centre.

04

Catalogue rules the platform cannot hold

Restricted ranges, minimums and pack sizes differ by account, and the chosen platform cannot express them.

How we handle itWe map every visibility, minimum and pack size rule before choosing the platform, so nobody finds its limits after launch.

05

Stock that is not really there

The portal shows 300 in stock, the warehouse has 12, and the trust you built goes in one order.

How we handle itStock comes from the system that knows, with buffers for fast movers and lead times shown clearly when items run low.

06

A sales team that quietly resists

Reps worry the portal replaces them, keep taking orders by phone, and adoption stalls.

How we handle itReps get their own access to order on behalf of customers and see their accounts’ online orders, so the portal works for them too.

Platform

Shopify B2B, Shopify Plus or a bespoke portal?

The right base depends on how many price lists you run, how complex approvals are and what your ERP already holds. Shopify’s built in B2B covers far more than it used to, since its core B2B features opened to standard plans in April 2026.

When pricing logic or ordering outgrows it, we build bespoke, as we did for Networks Centre. The full platform comparison is on our B2B eCommerce agency page.

Integration

Connected to the systems that already run your business.

A portal is only as good as the data behind it. Prices, stock, credit limits and order status come from your ERP, and orders, accounts and requests go back to it, so your team keeps working where it already does.

We map every integration with whoever runs your ERP before design starts, then build it early and test it on real accounts and orders. It is the same integration work we do across our eCommerce development.

  • ERP and accountsMicrosoft Dynamics 365 Business Central, Sage, Xero, Brightpearl and Unleashed, with customer pricing, credit limits, stock and order status flowing both ways.
  • CRMHubSpot and Dynamics CRM, so account owners, quotes and portal activity sit with the rest of the customer record.
  • ProcurementPunchOut and cXML for customers who buy through their own procurement systems and need you on their approved supplier list.
  • Access and securityRole based permissions, single sign on for larger customers where it is needed, and a GDPR compliant, UK hosted setup where the platform allows it.

How it works

How we build a B2B portal.

A portal succeeds or fails on how well it matches the way your customers already buy, so we start with them, not with a feature list.

01

Talk to your customers

We speak to your sales team and a handful of customers about how they order today and what slows them down.

02

Audit accounts and pricing

Customer records, price lists, terms and order history checked and cleaned before anything moves.

03

Prototype and test

A clickable prototype tested with real buyers before the build, so the portal fits how they work.

04

Build in phases

Accounts and ordering first, then pricing and integration, then quotes and approvals. Each phase earns before the next.

05

Launch and adopt

Invites, onboarding and reorder emails, with online ordering tracked account by account after launch.

Questions

B2B portal development FAQs.

Common questions about trade portals, customer portals, account pricing, quotes and approvals, ERP integration, cost and timelines.

What is a B2B portal?

A B2B portal is a logged-in website where your business customers place orders, manage their account and find what they need without contacting your team. Each customer sees their own prices and catalogue, can order by product code, reorder from history and download invoices and documents.

A trade portal is a B2B portal for trade and wholesale customers. A customer portal usually covers account management and service as well as ordering.

What is the difference between a B2B portal and a B2B eCommerce website?

A B2B eCommerce website is usually public: it helps new buyers find you, browse the range and open an account. A B2B portal is the logged-in side, built for existing customers who order regularly. Many businesses need both, with the public site winning new accounts and the portal keeping them. Our B2B eCommerce agency page covers the wider platform.

Can each customer see their own prices and products?

Yes. Contract prices, price breaks, customer specific catalogues, restricted products and trade terms are set per account or per customer group, and can be pulled from your ERP where it already holds that logic. Each customer logs in to see what is relevant to them, and never anyone else’s prices.

Can the portal handle quotes and approvals?

Yes. Customers can request a quote from a basket, your sales team prices it and sends it back, and the customer turns it into an order in one click. For larger customers we add approval steps, with spending limits per user and PO numbers carried through to the invoice.

Can our sales reps order on behalf of customers?

Yes. Reps can log in as a customer, see their prices and order history, place or edit orders and raise quotes, with every action recorded against the rep who made it.

Can you add a portal to our existing website?

Usually, yes. On Shopify the portal can sit behind your existing store using its B2B features, or run as a separate trade site on the same platform. On other platforms we either extend what you have or build the portal separately and link the two with a single login. We recommend whichever option avoids running two catalogues.

Is Shopify B2B enough, or do we need a bespoke portal?

Shopify B2B now covers company accounts, payment terms, volume pricing, quick order and reorders on its standard plans, and Shopify Plus adds unlimited catalogues per company and location. That is enough for many trade portals.

A bespoke portal makes sense when your pricing logic, approvals or customer self-service go further than the platform, or when you need a customer portal for a service business rather than ordering. We tell you which in discovery, before anything is built.

Will the portal connect to our ERP?

Yes. We connect portals to ERPs such as Microsoft Dynamics 365 Business Central, Sage, Xero, Brightpearl and Unleashed, so prices, stock, credit limits and order status come from the ERP and orders go back to it. We map the integration with whoever runs your ERP before design starts.

Do you support PunchOut and cXML?

Yes, for customers who buy through their own procurement systems. PunchOut lets their buyers shop your portal from inside their procurement software and send the basket back for approval, which keeps you on their approved supplier list.

How do we get customers to actually use the portal?

We plan adoption as part of the project. Accounts are moved across with their order history, customers get a personal invite and a simple first login, your sales team is briefed to move phone and email orders across, and reorder emails link straight into the portal. After launch we report online ordering account by account and follow up the customers still ordering the old way. At Networks Centre, 73% of orders are now placed online through the portal, where 81% used to come in by phone.

How much does a B2B portal cost?

B2B portals start from £20,000, with a fixed price after discovery rather than an estimate that grows. Portals with ERP integration, several customer types or approval workflows are scoped and priced per phase, so each phase pays its way before the next. Support and growth retainers after launch start from £4,000 a month, rolling monthly.

How long does a B2B portal take to build?

Most portals take 12 to 16 weeks from kick off to launch. ERP integration and cleaning account and pricing data usually set the timeline, so we start both in discovery and test on real accounts and orders before your customers see anything.

Is a B2B portal secure?

Every portal uses secure logins with role based permissions, so each user only sees and does what their role allows. Larger customers can sign in through their own single sign on where needed, and we use a GDPR compliant, UK hosted setup where the platform allows it.

Will the portal work on phones and tablets?

Yes. A lot of trade ordering happens on site or in the van, so every portal we build is designed for phones and tablets as well as desktops, with quick order and reorder easy to use one handed.

Who will build our portal?

Our own team in Arundel, West Sussex: designers, developers, integration specialists and marketers who work on the portal together, with Jake Boase and Matthew Jones, the co-founders, on every project. Nothing is outsourced.

Ready to give your trade customers a portal they actually use?

If your team still keys in orders from email, answers the same price and stock questions every day, or has customers asking for a login you do not have yet, we can help you plan the right portal.
